COMPREHENSIVE BOOKING TERMS & CONDITIONS

Welcome to Climb Kilimanjaro and Tanzania Safari. By booking and paying for your tour directly on our website, you agree to the following Terms and Conditions. Please read them carefully before completing your reservation.

1. Automated 100% Online Reservation & Instant Booking

Our booking system is 100% automated and self-service. You do not need to wait for a manual invoice or a separate payment link:

• Step 1: Browse our website, choose your preferred safari or Kilimanjaro trekking itinerary, select your travel dates, and enter the total number of adults and children.

• Step 2: Proceed directly to the Online Checkout Page on that specific itinerary.

• Step 3: Full payment (100% of the total tour cost) is required at checkout to instantly lock in and confirm your booking.

• Step 4: Once your payment is successfully processed, our system will automatically generate and email you an official Booking Confirmation Receipt and Automated Invoice.

2. Accepted Payment Methods via PesaPal Gateway

All online payments are securely processed through our integrated PesaPal Payment Gateway directly on our website checkout page. PesaPal supports a wide range of international and local payment options:

• Credit & Debit Cards (Global): VISA (Credit / Debit / Prepaid), MasterCard (Credit / Debit / Prepaid), and American Express (AMEX).

• Digital & Mobile Wallets / East African Local Payments: M-Pesa (Vodacom), Airtel Money, and Tigo Pesa / Halopesa.

• Direct Bank Wire Transfers: Available upon request for high-value group bookings (Official SWIFT details will be provided).

Currency Note: All prices on our website are listed and charged in US Dollars (USD). If your local card currency is different (e.g., EUR, GBP, CAD), your bank will automatically convert the amount at their prevailing daily exchange rate.

3. Bank-Grade Security & Fraud Protection

• 100% Secure Checkout: PesaPal utilizes 256-bit SSL bank-level encryption, PCI-DSS compliance, and 3D Secure verification (One-Time Password / OTP sent to your phone) to ensure your card details are totally safe.

• Fraud Prevention: We do NOT request card details via email or WhatsApp. All payments must strictly be completed on our Official Website Checkout Page.

4. Comprehensive Cancellation & Refund Policy

We understand that travel plans can change unexpectedly. All cancellation requests must be submitted in writing via Email Us. Refunds will be calculated based on the date we receive your written notification:

• Cancellations 60 days or more prior to arrival: 85% Refund (15% retained to cover administrative, processing, and bank gateway fees).

• Cancellations 30 to 59 days prior to arrival: 50% Refund.

• Cancellations less than 30 days prior to arrival / No-Show: 0% Refund (Non-refundable).

Important Note on Non-Refundable Direct Costs: Government park fees, Kilimanjaro climbing permits, conservation fees, and internal flight tickets already issued prior to cancellation are non-refundable as per Tanzania National Parks (TANAPA) regulations.

5. Rescheduling & Date Changes

If you wish to change your travel dates due to unforeseen emergencies:

• You may reschedule your tour free of charge up to 45 days before arrival, subject to seasonal rate adjustments and lodge availability.

• Date change requests made within 45 days of arrival may incur lodge re-booking fees.

6. Mandatory Travel & Emergency Evacuation Insurance

For your absolute safety and peace of mind:

• All clients booking Kilimanjaro treks or safaris are strongly required to purchase comprehensive international travel insurance before departure.

• Your policy must cover: Emergency Medical Evacuation (including helicopter rescue on Kilimanjaro up to 6,000 meters), hospital cover, trip cancellation, flight disruptions, and loss of personal baggage.

7. Passports, Visas & Health Requirements

• Passports: Must be valid for at least 6 months beyond your intended date of departure from Tanzania, with at least two blank pages.

• Tanzania Tourist Visa: You are responsible for obtaining your visa online prior to arrival via the Official Tanzania Immigration e-Visa Portal or upon arrival at the airport.

• Health & Vaccines: A Yellow Fever vaccination certificate is mandatory if you are traveling from or transiting through Yellow Fever endemic countries.

8. Customized Safari Vehicles & Guaranteed Window Seats

• We operate custom-built 4-wheel drive (4WD) Toyota Land Cruisers fitted with pop-up roofs for 360-degree game viewing, onboard fridge/cooler boxes, long-range HF radios, and device charging sockets.

• Seating Guarantee: Maximum capacity is 5 guests for standard vehicles and 7 guests for extended vehicles, ensuring every single guest has a guaranteed window seat.

9. Flight Schedules, Delays & Force Majeure

• Flight Disruptions: We are not liable for international flight delays, schedule alterations, or baggage losses caused by airlines. Please inform us immediately if your flight schedule changes so we can adjust your airport pickup.

• Force Majeure: Climb Kilimanjaro and Tanzania Safari is not liable for itinerary changes or disruptions caused by events beyond our control, including acts of God, extreme weather, civil unrest, or government restrictions. In such cases, we will assist you in rescheduling your trip.
